Booking a meeting room: a simple checklist

Meeting room with a wooden table, office chairs and a large city-view window

Confirm how many people will attend and choose a room that fits them comfortably. A room that is too small feels cramped, and one that is too large can make a small meeting feel empty.

Book a little extra time before and after. A few minutes to set up and to wrap up means you are not rushing in or being asked to leave mid-sentence.

Think about what the meeting needs, such as a screen for sharing, space to write things down or a quiet setting for calls, and ask about it when you enquire so the room is ready when you arrive.
